
Terms & Conditions
Data Protection
We only collect or create data which is necessary to run safe and effective lessons which we store using a googlemail account (which allows us to tailor our communications) and an offline spreadsheet. We do not sell any information on and only pass information on to external bodies where required to do so to meet our legal obligations and industry best practice guidelines.
Payments
Payment is due in full by the date specified for each term.

If you need to pay in instalments, please contact us separately to arrange by the date specified for payment for each term.

Failure to pay by the date specified may result in losing your space.
Credit
No refunds can be given once the term has started.

We do however offer credit for future courses where a child is required to miss three or more consecutive lessons due to medical reasons or, at our discretion, other extenuating circumstances, subject to the following conditions:
- the three consecutive sessions must start from the time that we are notified of the absence (we cannot credit for missed lessons
where we are not notified of the absence or reasons until after the lesson has passed).
- we must be notified / updated as to the expected length of absence and when the expected return will be.
- the amount of credit to be given shall equate to the number of lessons missed, minus one in respect of administration and the
keeping open of the space.
Missed Sessions
Subject to the above, refunds and credits cannot be given in respect of missed sessions as the same costs are still incurred for both the pool and teacher's time.

Where we are notified of planned absences in advance by email, we are happy to see if we are able to arrange an alternative session in its place. Please note that this is not guaranteed and will often be dependent on another family also informing us of a planned absence in good time.
Pool Closures & Cancellations
In the event of a first pool closure or cancellation during a term, our first course of action will be to seek to run on the advertised spare week of the term. If this is confirmed and goes ahead, then no credit or refund shall be given. This system allows us to keep our costs down for everyone while meeting our obligations.

If the session on the spare week cannot go ahead, or there is a second pool closure or cancellation for a session during the term then we may seek to offer an alternative session however if an alternative session cannot be agreed, the cost of the lesson shall be credited towards a future course.
Enrolment Procedures
All currently enrolled swimmers will receive an email shortly after each half term regarding enrolments for the following term. This will include details on the process for re-enrolling following which they will have a week's priority period in which to enrol for their preferred session (in the event of a session becoming full during this period, it will be determined on a first come first served basis).

After the week's priority period has ended, enrolments will be open to anyone on a first come first served basis.

While we will request information regarding preferences on times and will do our best to satisfy as many of these as possible when building the classes, these cannot be guaranteed due to the logistics.

The classes for each term are built from scratch and notified to families by email as soon as possible following the end of the preceding term. When building the classes we will take into account: latest assessments, teachers' recommendations, siblings into either the same or consecutive lessons, requests from families.

We seek to ensure that each child has the greatest possible opportunities and potential to progress each term so there may be occasions where we seek to make some changes to the groups during the term. This will not be done lightly - the benefit of the change will always be weighed against the disruption to the group and the individual and will always be done in consultation with those affected.
​
Where we do not have any spaces available, we will operate a waiting list and offer a space if / when one becomes available in an appropriate class.
Pool Rules
There are a limited number of pool rules that we must enforce in the interests of keeping the pool open and / or health and safety. We reserve the right to remove from the lessons, any swimmer and/or their accompanying spectators that do not comply with these rules.

Around the site:
- cars must be parked around the back of the Windmill in the gravel car park
- children must not be dropped off at the front of the building and must instead be accompanied by their adult round from the car
park to the Pool Hall
- noise must be kept to a minimum - there are always other businesses on site that are adversely affected by excessive noise in the
car park
- there is no access across the garden to the Pool Hall - access is by re-tracing movements up to the track and across the front of the
Windmill
- no one is permitted on site when under the influence of alcohol or any other drugs

Before lessons:
- all swimmers must be encouraged to use the toilet.
- all swimmers must be dressed in appropriate swimwear, including a swim hat.

During lessons:
- no photographs or videos may be taken of or inside the Pool Hall (and never in the Changing Room) without the PRIOR
permission of the swimming teacher and compliance with their instructions which will be aimed at safeguarding everyone within
the Pool Hall at the time
- noise in and around the Pool Hall and Changing Room should be kept to a minimal level at all times so as not to disrupt the
ongoing lesson
- the external doors in the Pool Hall must remain closed at all times and there shall be no access to the room to the left of the
changing room
- all footwear should be removed before entering the Pool Hall and stored neatly in the entrance
- only water is allowed in the Pool Hall and Changing Room - all other food and drink should be reserved for once the Pool Hall has
been left
- no talcum powder is permitted anywhere in the Pool Hall or Changing Room
Disruptive / Unsafe Behaviour
We ultimately reserve the right to remove from the lessons any swimmer whose behaviour is repeatedly disruptive or unsafe.
